The Municipal District of Bonnyville No. 87 invites applications for the position of Administrative Assistant, Environmental Services. The Administrative Assistant, Environmental Services provides high-level administrative and executive support to the General Manager, Environmental & Protective Services while maintaining confidentiality in a fast-paced environment.
Duties & Responsibilities:
- Provide administrative support to the General Manager, Environmental & Protective Services.
- Manage and maintain the General Managerβs calendar, schedule appointments, and coordinate meetings.
- Handle incoming calls, emails, and other communications, ensuring timely responses.
- Arrange and coordinate municipal meetings, events, and public engagements.
- Prepare agendas, take minutes, and distribute meeting materials.
- Conduct research and compile data to support decision-making.
- Assist with general correspondence and follow-up actions items and deadlines.
- Generate, review, and edit reports, memos, correspondence and other documentation for accuracy and grammatical usage.
- Assist in planning and executing municipal programs and initiatives.
- Serve as a point of contact between the General Manager and other government officials, agencies, and the public.
- Maintain confidential records and municipal documents.
- Possess a thorough knowledge of the departmental administrative and project filing system to accurately store, manage, and retrieve documents.
- Maintain office supplies and coordinate office logistics.
- Perform other related duties within the scope of the position.
Qualifications:
- Post-secondary education preferably in business and administration.
- Minimum five (5) yearsβ administrative experience, preferably in a municipal setting.
- Previous experience as an executive assistant, administrative officer, or similar role will be considered an asset.
- Excellent communication and interpersonal skills, both written and verbal.
- Strong organization, attention to detail and time management skills.
- Ability to maintain confidentiality and handle sensitive information.
- Proficiency in Microsoft Office Suite and office management software.
- Valid Class 5 Driversβ License in good standing.
