Job Purpose:


The Coordinator Assistant will assist the English Bay Community Center Coordinator with administrative, operational and general tasks to achieve facilitating effective, wholistic programming to the members of English Bay.


 


Duties and Responsibilities:


The employee in this position performs a variety of tasks including but not limited to


assisting with the general day to day operations of the English Bay Community Center:



  • Administrative duties (i.e. filling out forms, building documents, emails, etc.)

  • Faxing/photocopying as required.

  • Work with Microsoft Word, Excel, PowerPoint for documentation, report writing, presentations

  • Utilize Internet Browser, Email and Teams for communication, promotion of activities, and assistance to Supervisor.

  • Coordinate the flow of information internally (i.e. incoming mail, notice distributions, other material, etc.) in a timely manner

  • Take shorthand for various meetings and prepare minutes for documentation purposes.

  • Assist in the development of written documentation concerning community reports and annual program plans.

  • Assist with report preparation, proposals and budgeting as requested by Supervisor.

  • Assist with departmental planning and forecasting.

  • Assist supervisor with meeting coordination

  • Assist in creating and promoting programs based on community input

  • Maintain filing system

  • Maintain office equipment and supplies.

  • Maintain current affairs bulletin board

  • Supervise users of the facility

  • Assist with ensuring security of the building i.e. closing procedures - all people have left from the building, ensure building is secure all doors locked, etc.

  • Encourage use of building by promoting community activities

  • Assist in facilitating feasts, community meetings, conferences, and other events.

  • Promote cultural and social activities at the request of community members

  • Assist in promoting computer and internet training initiatives

  • Assist in supervising trainees, students, on the job placements, as required.

  • Perform other related duties as requested by the Supervisor.

  • Take specified training as required.

  • Travel when required

  • Knowledge of office supplies, equipment, and/or services ordering, as well as inventory control of these items.

  • Strong ability to utilize Microsoft Office including Excel, Word, and Power Point.

  • Ability to maintain filing systems and basic databases.

  • Professional telephone manners, ability to deal with people effectively and strong interpersonal skills.

  • Excellent written and communication skills

  • Must have a valid Class 5 Drivers License and reliable transportation

  • Criminal Records Check - Vulnerable Sector

  • Current Standard First Aid with CPR/AED Certification

  • Must be available to travel when required

  • Knowledge of First Nations culture, government, languages and community dynamics is considered an asset.


 


Knowledge, Skills and Abilities Required:



  • High School Diploma or GED, or an acceptable combination of education experience.

  • 6 months toa year of direct work experience in an administrative assistant capacity.

  • Strong knowledge of general office procedures i.e., photocopying, faxing, email, etc.

  • Able to write correspondence including letters, memos, etc.

  • Knowledge of First Nations culture, government, languages and community dynamics is considered an asset.



Working Conditions and/or Physical Requirements:



  • Monday to Thursday; 8:30am- 4:30pm Friday 8:30am- 2:00pm. Overtime as requested.
