Reports To: Human Resources Manager



Job Purpose:


Reporting to the Human Resources Manager, the Human Resources Assistant is responsible for performing administrative tasks and services related to recruitment, onboarding, and HR documentation, supporting the efficient operation of the Cold Lake First Nations Human Resources department. The role requires extensive data entry, communication, collaboration, and administrative support.


 


Duties and Responsibilities:



  • Maintain accurate and up-to-date human resource files, records, and documentation.

  • Assist with day-to-day HR functions and duties.

  • Support internal and external HR-related inquiries or requests.

  • Schedule meetings, interviews, HR events, and maintain agendas.

  • Conduct employee orientations, facilitate onboarding, and update records of new hires.

  • Support employee payroll and benefits processes by ensuring accurate information is entered into the system.

  • Maintain confidentiality and discretion with sensitive HR matters.

  • Assist in the preparation of various reports and metrics for HR department use.

  • Provide administrative support to the HR Manager, including preparing correspondence, filing, and other duties as assigned.


 


Knowledge, Skills and Abilities Required:



  • Certificate or Diploma in Business Administration or related field.

  • 1 year of work experience in a similar role, or an equivalent combination of education and experience.

  • Advanced computer skills, particularly with Excel, Microsoft Teams, and other Microsoft Office programs.

  • Strong organizational skills with a high level of attention to detail.

  • Ability to prioritize tasks and manage conflicting deadlines.

  • Excellent verbal and written communication skills.

  • Outstanding interpersonal skills with the ability to handle sensitive and confidential information.

  • Comprehensive understanding of HR functions and best practices.

  • Knowledge of First Nations culture, government, languages, and community dynamics is an asset.

  • Access to reliable transportation.


 


Working Conditions and/or Physical Requirements:



  • Office environment, 37.5 hours per week, Monday – Thursday, 8:30 am – 4:30 pm, Fridays 8:30 am – 2:00 pm.

  • Overtime may be required occasionally.

  • Repetitive movements (e.g., typing) and sitting/standing for extended periods.
