Operations Coordinator for the Bonnyville Branch

Roles and Responsibilities:



  • Receive and respond to client requests for personnel and equipment while always maintaining a high standard of customer service.

  • Dispatching employees and all equipment related and required for successful completion of the job.  

  • Communicate job details as well as travel instructions for both to and from site to the employees.

  • Enter and maintain all dispatch information in a timely manner on the Daily Activity Report (DAR)

  • Responsible for accurate and timely submission of branch employees’ hours in UltiPro Time and Assistance (UTA) by co-managing with the office administrator, verifying time entries and resolving any discrepancies prior to payroll processing.

  • Liaise with Total Safety operations and management to troubleshoot dispatching issues.

  • Coordinate travel logistics including booking and tracking of all hotels, staff housing and incoming/outgoing flights. Update hotel tracker.

  • Maintain field schedule, truck maintenance and housing needs, as well as any crew changes and job scheduling.

  • Facilitate regular communication among the operations team to identify ongoing personnel requirements including, but not limited to, staffing needs, upcoming jobs, crew changes, etc. 

  • Act as a main point of contact for field employees and respond to inquiries in a timely manner; relay information and inquiries to appropriate personnel, as required.

  • Provide administrative support on special projects and initiatives as required.

  • Immediately report safety concerns to supervisor, and management as required. Report all operational issues as protocol requires.

  • Enters data to maintain and update various databases and spreadsheets. Ensures data integrity by verifying input and calculations.

  • Participate in all operational based meetings for both the branch and the company.

  • Provide backup support to other office staff during peak times, absences, or in emergency situations.

  • Perform any other administrative or office tasks as required to support the team and ensure smooth operations.

  • Verbal and written proficiency in English


Required Qualifications/Experience:



  • Must have Standard First Aid Level C.

  • Minimum 2+ years’ previous dispatch and/or safety-related experience. Work experience in the Oil & Gas industry is a definite asset.

  • Must have intermediate MS Office (Outlook, Word, Excel & PowerPoint) and general computer skills.


Additional Requirements:



  • Ability to produce a clean or satisfactory Driver’s Abstract.

  • Ability to pass pre-employment Drug & Alcohol testing and comprehensive background check.


Physical Demands



  • While performing the duties of this job, the employee is regularly required to stand; walk; and stoop, kneel, or crouch. Uses hands to finger, handle, or feel; reach with hands and arms; and talk or hear.  The employee is occasionally required to sit.  The employee must frequently lift and/or move up to 50 pounds.  Specific vision abilities required by this job include close vision, distance vision, color vision, and ability to adjust focus.


Work Environment



  • Shop and yard environment. May be frequently exposed to wet, humid, outside weather conditions and vibration.  Slips, trips & falls, heat stress, lifting hazards, pinch points, shop traffic, forklift hazards.


Reporting Relationships



  • Complexity of Duties and Decisions: Must follow established operational, compliance, safety and emergency response procedures.  Must adhere to specifications and schedule.  Must conform to standard work practices the include but are not limited to safety, security, environmental procedures and company business practices and codes of conduct. 

  • Authority: Works under direct supervision: specific instructions are given on assignments or follows written or verbal instructions and established procedures and standard practice to perform assigned tasks.
